About the Role

You're not just answering phones — you're the first impression of a firm that's redefining what financial advisory looks like. Our role is vital in ensuring smooth office operations and an exceptional client experience. This position requires excellent communication skills, a professional demeanor, the ability to multitask in a fast-paced environment, and helping maintain the professional and fun environment that defines INVST.

What You'll Do

Client Services + Reception:

  • Greeting clients and visitors with a friendly, professional attitude
  • Operate switchboard and direct potential clients to relevant departments
  • Assist with coordinating conference room bookings and appointments

Office Administration:

  • Maintain a clean and organized front desk, waiting area, and conference rooms
  • Record, file, and track all outgoing and incoming couriers, and sort mail
  • Order and stock office supplies, beverages/snacks, and other necessities
  • Assist with document management, scanning, and filing
  • Maintain restrooms, kitchen, and lunch area
  • Prepare conference rooms for client meetings, including refreshments, and materials

Team Support:

  • Assist with administrative tasks and provide research and support to all departments and individuals, where necessary
  • Help with event planning, client appreciation gifts, and special projects
  • Cross-train with different teams and provide backup when necessary
  • Ad hoc duties as required and directed by Leadership team
  • Record all incoming invoices and expenses in register, gaining appropriate approval where necessary, and forward to Finance Department in a timely fashion

What We're Looking For

Qualifications + Skills:

  • Bachelor's degree or equivalent experience is desired
  • Excellent communication and telephone skills (fluent, spoken and written English)
  • Good computer skills – efficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Friendly personality – approachable, outgoing, assertive
  • Excellent organizational skills, ability to prioritize, follow up, and multi-task
  • Flexible and resourceful at problem-solving
  • Ability to work independently or as part of a team
  • Ability to move up and grow in business based on success in cross-training
